Global Arts Challenge – Terms and Conditions

Introduction

The Global Arts Challenge (“the Challenge” or “GAC”) is organised by Global Arts Education Ltd, a company based in England and Wales with its registered address at 71-75 Shelton Street, London, WC2H 9JQ, United Kingdom. These Terms and Conditions apply to participation in the 2024-25 Global Arts Challenge.

1. Eligibility and Participation

1.1 The Global Arts Challenge is open to individuals aged 15 to 19 years, regardless of their educational setting, including those who are homeschooled. Participation is intended to provide young artists with an opportunity to showcase their talents on an international platform. Proof of age, such as a passport or birth certificate, may be required to verify eligibility.

1.2 There are no specific requirements regarding school enrolment or nationality. The Challenge is inclusive and open to students worldwide who meet the age criteria.

1.3 Participants under the age of 18 must obtain parental or guardian consent to register and submit their work for the Challenge. This ensures compliance with applicable laws concerning minors.

2. Registration and Fees

2.1 The registration fee for participation in the 2024-25 Global Arts Challenge is £85.00 per student. This fee covers teaching fees, administrative costs, and access to the online submission portal. Partial refunds, less an administrative fee, are available until 1 March 2025. No refunds will be issued after this date, even in cases of participant withdrawal.

2.2 Fee waivers for low-income participants may be considered on a case-by-case basis. Applicants should contact the Global Arts Challenge to inquire about eligibility for a fee waiver.

2.3 Participants must submit their work via the online portal or email, as communicated by the organisers prior to the deadline. Submission instructions will be provided to all registered participants in advance.

3. Submissions and Deadlines

3.1 The submission deadline for the 2024-25 Challenge is 1 March 2025. Participants must submit their work by this date. Late submissions will not be accepted unless due to documented technical errors, which must be reported immediately. Extensions are only granted at the sole discretion of the organisers.

3.2 Submissions must include: (i) a PDF document of no more than 10 pages for individual entries, or 15 pages for team entries; and (ii) a video of no longer than 3 minutes. The PDF must include a detailed overview of the project, including concepts, inspirations, and supporting materials. All written and video submissions must be in English. Team submissions are limited to a maximum of three members.

3.3 Participants will be notified via email if their submission fails to meet the required criteria. Corrections may be made and resubmitted, if time permits.

4. Judging and Prizes

4.1 Judging criteria are outlined in the competition handbook, which will be provided to all participants upon registration. Judges will assess submissions based on the background and field of study, application of research, application of specialist and technical skill, and final outcome and presentation. The judging panel includes international professors from leading arts and design universities.

4.2 Winners will be announced on 1 April 2025. Prize details are also specified in the competition handbook. Prizes may include monetary awards, scholarships, fee waivers, certificates, or opportunities for artistic development, such as workshops and mentorships.

4.3 Disputes regarding judging decisions or prize allocation must be submitted to the Global Arts Challenge head judge. The head judge’s decision is final and binding. Participants waive their right to challenge these decisions in court.

5. Intellectual Property and Rights

5.1 Participants retain ownership of their submitted work. By participating, participants grant the Global Arts Challenge a non-exclusive, worldwide, royalty-free, perpetual, and irrevocable licence to use the submissions for marketing and promotional purposes.

5.2 The Global Arts Challenge will not alter participants’ work or require further permissions for public display.

6. Privacy and Data Protection

6.1 The Global Arts Challenge will collect personal information, including name, age, school, and contact details, for the purposes of registration and management of the Challenge.

6.2 Personal data will be used solely for the administration of the Challenge or related marketing activities, in accordance with the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018. Personal data will not be shared with third parties without explicit consent from the participant or their parent/guardian.

6.3 Participants have the right to access, correct, or request the deletion of their personal data at any time. Any such requests should be sent in writing via email to jim [at] globalarts.education.

6.4 Parental or guardian consent is required for the collection and use of personal data from participants under 18 years of age.

7. Code of Conduct

7.1 Participants are required to adhere to all competition rules, respect submission guidelines, and conduct themselves ethically during the Challenge. This includes expectations during the international exhibition, such as professional conduct in exhibiting work and preparing presentations.

7.2 Any violation of these rules may result in disqualification at the discretion of the Global Arts Challenge.

8. Plagiarism

8.1 Participants must ensure that all work submitted is their own original creation. Plagiarism, including the unauthorised use or close imitation of another’s work without proper attribution, is strictly prohibited.

8.2 Any submission found to contain plagiarised content will result in immediate disqualification from the Challenge. The Global Arts Challenge reserves the right to take further action, including informing the participant’s school or relevant educational authority.

8.3 Participants are encouraged to appropriately reference any influences or sources used in their work, including visual or conceptual inspiration, in order to maintain transparency and academic integrity.

8.4 The use of generative AI tools is permitted, provided that such use is clearly attributed and referenced within the submission. Participants must specify which parts of their work have been generated or assisted by AI, ensuring full transparency.

9. Liability and Disclaimers

9.1 The Global Arts Challenge accepts no liability for technical issues, including website downtime or errors during submission. Participants are advised to complete submissions well in advance of the deadline.

9.2 Personal data will be handled in compliance with applicable UK regulations, including the GDPR and the Data Protection Act 2018. The Global Arts Challenge disclaims responsibility for issues arising from miscommunication or misuse of personal data beyond its control.

10. Cancellation or Modification of the Challenge

10.1 The Global Arts Challenge reserves the right to cancel or modify the Challenge at any time, including due to insufficient participation or legal reasons. Participants will be notified in writing if such changes occur.

10.2 In the event of cancellation not due to force majeure, registration fees will be refunded to participants. Refunds will be processed promptly.

10.3 Any amendments to these terms will be communicated to registered participants via email.

11. Governing Law and Dispute Resolution

11.1 These Terms and Conditions are governed by the laws of England and Wales.

11.2 Disputes shall first be resolved through arbitration. If arbitration is unsuccessful, the matter will be submitted to the courts of England and Wales.

11.3 Disputes must be raised within a period of 12 months from the date of the incident giving rise to the dispute, in accordance with English law.

12. Submission

12.1 By submitting the registration form, participants and their parents or guardians (if applicable) agree to comply with these Terms and Conditions and participate in good faith.
